This person will manage and oversee the day-to-day administrative support activities of the Co-CEOs, act as the primary point of contact for both internal and external constituencies, assist Co-CEOs with personal/family errands and activities, handle their personal and professional calendars, travel arrangements, and schedules.

DUTIES AND RESPONSIBILITIES:

Serves as the primary point of initial contact for internal and external constituencies on all matters pertaining to the Office of the Co-CEOs.
Provides assistance and represents Co-CEOs as appropriate in communicating with internal and external constituents.
Independently researches, prioritizes, and follows up on multiple incoming issues and concerns addressed to Co-CEOs, including those of a sensitive and/or confidential nature; determines appropriate course of action, referral, and/or response.
Manages and oversees all day-to-day secretarial, both personal and professional planning and scheduling, and administrative activities in support of Co-CEOs.
Manage communications and correspondence (voicemail, email, mail), responding when needed; bringing action items forward to appropriate individual s attention.
Manage calendars, including scheduling/arranging meetings, booking meeting rooms, and sending invitations and reminders when needed.
As needed, coordinate travel, hotel, and car reservations, including verifying required travel documentation, determining timelines and processes to obtain necessary documentation and taking appropriate steps to acquire documentation.
Arrange couriers and deliveries ensuring time-sensitive material are received on time .
Occasional personal errands and activities to support the CEOs.
Performs miscellaneous job-related duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Ability to organize, prioritize, and schedule work assignments.
Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks.
Skill in organizing tasks and establishing priorities.
Information research, analysis, and evaluation skills.
Advanced verbal and written communication skills and the ability to work with a wide range of constituencies in a diverse community.
Demonstrate advanced computer proficiency, including MS Office Suite (Word, Excel, PowerPoint, and Outlook).
Demonstrated experience working with strong personalities and both personal and professional activities.
Must be available for after-hours calls or emails, and sometimes tasks.
Bachelor’s degree and a minimum of 3 years of work experience as an Executive Assistant that can be demonstrated to be applicable to the duties listed in the job description.
