SUMMARY:
The Human Resources Assistant. will perform administrative duties related to the operations of the department. The responsibilities include, but are not limited to the following:
ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Preserves company records by managing paperwork and employment files effectively
o Creates and/or updates employment files and paperwork
o Appropriately files incoming paperwork and employment files
o Quickly retrieves documents and paperwork when requested
o Files alphabetically and according to content, dates and significance
o Maintains the organization of the filing system in compliance with the retention policy
o Identifies potential opportunities for improvements or adjustments to the filing system
* Reviews incoming email and paperwork (files, correspondence, employment documents etc.) before processing, scanning, filing or distributing
* Unemployment management
o Drafting correspondence and gathering separation details
o Responding to unemployment claims (documents and calls) in a timely manner
o Partnering with HR Generalists for response and participation in unemployment hearings
* Respond to employee wellness screening related phone calls and emails
o Tracking employee calls, emails, status changes and return to work dates
o Providing direction to employees and managers on next steps
o Sending email notices and status communication emails as needed
* Assist employees with general employment, policy, procedure, and benefit related questions
* Front Desk / Receptionist breaks and coverage
o Handling high volume phone calls
o Managing multiple meeting calendars
o Checking in visitors and vendors
* Coordinating file reviews with investigators and government officials
* Fulfilling subpoenas and record requests
* Sorting and distributing incoming HR mail
* Data entry
* Special projects and other duties as assigned
QUALIFICATION REQUIREMENTS:
* Excellent organizational skills and attention to detail
* Proficient in the use of Excel, MS Word and Outlook
* Ability to effectively use common office equipment
* Working knowledge of corporate retail environment preferred
* Strong phone etiquette and communication (verbal and written) skills
* Strong analytical skills, documentation skills, and people skills are a must
* Must possess a serious understanding of confidentiality and data protection
* Ability to prioritize projects and work in a fast paced, deadline oriented environment
EDUCATION and/or EXPERIENCE:
* High School Diploma or equivalent required
* Administrative experience preferred
PHYSICAL REQUIREMENTS:
* Prolonged periods sitting at a desk and working on a computer
* Prolonged periods of physical lifting, carrying, climbing and moving file boxes
* Must be able to frequently lift and carry up to 25 pounds at a time
* Must be able to climb ladders and step stools frequently
* Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds.

Hourly Salary Range: $19-$21: Offer placement within this range is dependent on a variety of factors, including prior relevant experience, skill set, and qualifications.
