Job Title: Office Administrative Assistant

Job Overview:
We are seeking a detail-oriented and proactive Office Administrative Assistant to support our client’s vehicle licensing operations. This onsite, Temporary-to-Hire position, based in Mount Laurel, NJ, involves working directly with state agencies, internal teams, and clients to ensure timely and accurate vehicle licensing compliance. The ideal candidate will be highly organized, customer-focused, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities of the Office Administrative Assistant:

• Collaborate with state Divisions of Motor Vehicles and licensing agencies to process vehicle licensing requirements.
• Accurately complete state licensing documents for various vehicle types, including cars, trucks, and specialized equipment.
• Serve as a point of contact for internal teams, external clients, and third-party vendors regarding licensing inquiries and best practices.
• Process licensing work through internal online systems, state DMV interactions, and third-party licensing vendors.
• Research and communicate updates on state laws and licensing requirements.
• Act as a Subject Matter Expert for licensing procedures in various states.
• Assist in cross-departmental processes, data compilation, and document preparation.
• Train and support new and existing employees on licensing procedures.
• Ensure data integrity of vehicle records and maintain accurate licensing documentation.
• Work closely with Licensing Analysts to meet client-specific licensing requirements.
• Troubleshoot licensing delays and develop alternative solutions as needed.
• Proactively follow up on licensing processes to ensure all deadlines are met.
• Deliver exceptional customer service to both internal and external stakeholders.
• Respond to inquiries promptly and thoroughly.
• Perform additional administrative tasks as assigned.

Qualifications and Skills for the Office Administrative Assistant:

• Associate’s degree or equivalent work experience required.
• Additional education, certifications, or relevant experience are a plus.
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, etc.).
• Familiarity with office technology and equipment (fax machines, scanners, printers, phone systems, etc.).
• 1+ year of administrative or related experience.
• Knowledge of DMV regulations is helpful but not required.
