Job Summary

The Office Services Associate – Mail/Print position is key to providing timely and accurate mail and print support for our client, a prestigious law firm. The role entails handling incoming and outgoing mail, managing mailroom inventory, performing print services, and supporting day-to-day operational excellence. Legal mail and print experience is required, as well as strong customer service skills, attention to detail, and the ability to work efficiently in a fast-paced environment.

Essential Job Functions

Mail & Logistics Responsibilities

• Sorted and distributed incoming USPS mail and packages, logged and tracked deliveries, and handled outbound shipments.
• Coordinate carrier pickups, manage supplies inventory, and perform first-level triage on convenience copiers.

Reprographics Responsibilities

• Follow Total Quality Management processes for all print jobs, ensuring accuracy and timely completion.
• Perform first-level maintenance on printers, coordinate break/fix services, and deliver completed print requests.

Mail Services

• Perform mail distribution and scheduled runs, and utilize postage equipment for accurate processing.
• Prepare and retrieve outgoing certified and registered mail.

Print Services

• Execute print requests, including copying, binding, quality control, and basic copier maintenance.

Daily Account Management

• Act as the primary liaison between the client and Forrest Solutions, managing client requests and ensuring high satisfaction.
• Maintain a professional work environment with up-to-date communication boards, proper signage, and cleanliness.

Process & Procedures

• Implement specialized mailroom processes and collaborate with clients to ensure efficient handling of mail.
• Sort, prioritize, and meter outgoing mail, following established procedures and postal regulations.

Client Experience/Satisfaction

• Build client relationships by providing prompt issue resolution and maintaining high service standards.
• Conduct workspace inspections, address client concerns, and follow up on quality assurance checks.

Qualifications and Requirements

• High school diploma required; college degree preferred.
• Minimum of 1 year of mail and legal office experience.
• Proficient in Microsoft Office and technology applications.
• Ability to provide excellent customer service, multitask, and maintain confidentiality.
