Our Clinical Supply Operations is responsible for the supply of drug product administered to patients in clinical studies worldwide. In Global Product Development and Supply the team works closely with our partners to deliver quality products safely, efficiently and on time while operationalizing the innovative technologies that will deliver the transformative medicines of tomorrow. Position Summary
Provides scheduling guidance and technical expertise in creation of work orders, reports, metrics, and workflows relating to the Computerized Maintenance Management System (CMMS) within the New Brunswick, NJ Clinical Manufacturing Facilities.
Supports CSO Safety Committee as Facilities & Engineering Support team member. Processes and inputs safety evaluations and inspections forms.
Manages monthly and yearly budget activities for CSO study supplies budget and provides other relevant CSO business operations support.
Key Responsibilities
GMP Facilities & Maintenance:
- Functional understanding and application of all CMMS modules including Assets, Work order, PM, Job Plan and Data sheets.
- Assisting customers in the completion of data forms and entering new equipment information into the CMMS.
- Assisting in the administration of the CMMS work orders, including generating schedules, preventive maintenance work orders and on demand work orders utilizing the CMMS.
- Using CMMS and Excel spreadsheets for planning, scheduling and reporting of all maintenance activities including monthly work assignments, activity completions and metrics.
- Compiling and analyzing reporting data to assure the timely monthly completion of all scheduled calibration work assignments.
- Providing management with information regarding work order status such as past due / current open work orders and monthly metrics.
- Reviewing Work Orders for completion and entering status into the CMMS.
- Responsible for ongoing contact with internal customers for work order questions, issues, scheduling and asset
- information.
- Maintaining technical department files; support Records Management Archiving of Documents (for Iron Mountain /3rd Party) and associated documentation.
- Generating process set-up and campaign support work orders based on Process Flow Diagrams (PFDs)
- Linking calibration certificates and vendor reports to Maximo Work Orders via Vault/BMS Docs
Business Operations:
- Works with CSO Supply Planning & Business Operations team to collate yearly budget projection for all outsourced manufacturing and packaging & labeling project work for the year. Updates relevant budget planning and tracking tools.
- Monthly, track spend and modify as needed based on the monthly accruals. Complete RA coding (project coding) in SAP against all CSO monthly spend. Collaborate with CSO project managers quarterly and/or as needed for updates on project activities for expected monthly invoicing, increase/decrease in projected spend, and potential delays. Updates relevant planning and tracking tools (e.g. Excel, Anaplan). Collaborates with Finance group, communicating any monthly variances, increase/decrease in approved budget spend.
- Supports Ariba requisitioning of goods and services
- Supports ad-hoc metrics and reports from SAP and CMMS and related compliance & business operations tasks as needed
Qualifications & Experience
Knowledge, Skills, and Abilities:
- Working knowledge of current Good Manufacturing Practices (cGMP)
- Proficient with MS Office applications
- Knowledge of maintenance activities and familiarity with a CMMS (Computerized Maintenance Management System), preferably Maximo.
- Knowledge of SAP Coding applications
- Ability to prioritize and support multiple projects in a fast-paced environment
- Ability to work independently and make independent decisions
- Ability to work with minimal supervision
- Strong written and verbal communication skills
- Excellent analytical skills
- Ability to work well with co-workers and outside contractors
Education & Experience:
- B.S. degree in life sciences preferred, or relevant pharmaceutical industry experience in lieu of degree
- 3-5 years relevant business operations and/or compliance operations support within pharmaceutical industry manufacturing
- Experience utilizing a Computerized Maintenance Management System (CMMS / Maximo), SAP ERP, Ariba, SharePoint, Outlook, Microsoft Office tools, Anaplan or other relevant business planning or budget planning software preferred
