About the role
This is a part time role which will provide first class visitor and customer experience to Dun & Bradstreet Ljubljana office. Working within the Workplace team, this role will be a diverse and busy role focusing on delivering an outstanding, safe and compliant office environment for team members, customers and visitors to enjoy. Excellent communication and administration skills are a must with concise organization skills. We anticipate this role would be 30 hours per week.
This role is pivotal in the smooth operation of the Dun & Bradstreet office, giving our team members, visitors and customers with their first and lasting impression, having great local knowledge this role will be responsible for promoting a positive office experience
Key Responsibilities
Office workplace representative & customer point of contact
Reception Services – meet and greet as you will be welcoming guests and visitors, provide support manage their enquiries in a professional and courteous manner.
Site Safety and Security – championing site rules and being the first point of contact for all safety and security enquiries (access badge control & health & safety matters), inductions, access card, key deployment, carpark and maintaining appropriate records.
Facilities Administration – Supplier contracts, procurement process and invoicing, assisting in organising the facilities elements of any office events and other administration relating to facilities matters.
Office communication – ensure that clear communication is provided to the site and leadership team in workplace matters.
Office maintenance – managing preventive and reactive requests and complete and coordinate any cleaning requests through our provider.
Coordinating catering, incoming & outgoing mail, any other 3rd party office services, stock control as required
Supervise and coordinate maintenance and cleaning works, contractors and landlord.
Managing and prioritising tasks and queries as part of the day-to-day role, putting in place best practices in workplace management.
Support the Senior workplace Manager by bringing innovation and good operation standards
Sustainability: Understand ESG company objectives, ISO Standards and ensure record keeping of data collection and records, support the organizing local environmental events and initiatives at office.
What we’re looking for
Experience in a similar environment
Understanding of Health & Safety Regulations and First Aid, Fire warden qualification preferred.
Champion of our office Environment best practices
Excellent customer service, planning and organisational skills
Strong interpersonal skills with the ability to interact and communicate effectively
Energetic, approachable, and representative of D&B, ensuring our customers and visitors feel welcome
Excellent PC and administration skills – with a sound knowledge of word and excel
Strong written and verbal communication skills in English and Slovenian
Ability to always adhere and put in place site rules and regulations.
