Essential Job Function
Oversee all strategic and functional areas of human resources, which includes recruitment and employment, personnel administration, employee relations, job evaluation, organization development, and training. The Human Resources & Operations Supervisor is also responsible for overseeing strategic areas for internal organizational improvement.
Key Responsibilities
General
Promote a culture of high performance and continuous improvement that values learning and a commitment to quality
Maintain continuous lines of communication, keeping the President informed of all critical issues
Human Resources
Assist in developing strategic direction and formulation of corporate-wide HR policies, procedures, systems, and initiatives
Participate in the development of Companys strategies, plans, and programs with the Senior Leadership Team
Develop and cultivate relationships with employees to facilitate open communication about the Companys culture and employee satisfaction
Ensure the visibility of HR and promote a positive presence with all employees through effective and timely communication
Manage annual training calendar for internal and external trainings. Lead appropriate trainings as needed
Maintain Human Resources Information System (HRIS) ADP TotalSource
Coordinate consultant agreements and scopes of work for all outside independent contractors
Facilitate new employee onboarding and orientation, including development of new hire agenda
Work with legal counsel to ensure that Murphy O’Brien is following proper employment policy and legal procedures
Revise Employee Handbook on an annual basis, including state updates as needed for remote employees
Oversee all aspects of performance review process, including 30-90 day and annual reviews
Coordinate employee exits, following all items on termination checklist
Conduct agency pulse surveys as needed
Ensure that all actions of the company are accomplished in an ethical manner
Oversee annual open enrollment process for medical/dental/vision insurance
Recruiting
Post recruiting advertisements to LinkedIn and professional job positing sites
Provide regular updates to the management team with recruiting status on open positions
Conduct initial phone interviews
Coordinate and schedule all in-person candidate interviews
Prepare offer letters and coordinate with Accounting on salary/benefits negotiations as needed
Train current employees on the process of interviewing
Check references and administer writing tests
Research and communicate with new (passive) candidates on LinkedIn, develop a communication schedule with passive candidates to share updates and new client wins from the agency
Coordinate with recruiting firms as needed
Office Morale, Wellness and Culture
Develop strategies, initiatives and opportunities to ensure a high level of employee satisfaction, engagement and retention
Oversee Office Manager in implementation of perks and benefits programs
Provide employees with information about the agencys mission, values, policies, responsibilities, etc.
Operations
Oversee all aspects associated with updating the staffing grid and ensure all team members are informed appropriately
Attend staffing weekly meetings, reallocate hours as needed and identify open hire slots to coordinate recruiting efforts accordingly
Provide capacity analysis when needed
Ensure all time keeping processes are being followed, including monitoring overtime for hourly employees
Pull incomplete time reports bi-monthly from ClickTime and document offenders
Assist Accounting with running payroll to ensure all changes, commissions, etc. are captured
Oversee updates to Operations manual and Client Services manual for new hires
Submit entry for LABJ Best Places to Work annually
