VideosDutiesThe incumbent will serve as Management and Program Assistant with the Quality Management Office at the Ann Arbor VA Healthcare System, including the associated Community-Based Outpatient Clinics (CBOCs). The duties of this position include, but are not limited to:Performs a combination of routine and multiple and varying assignments in support of administrative programs under the limited direction of a manager or more experienced employee. Assists managers and other employees in day-to-day operations to coordinate multiple assignments.
Performs general administrative support such as research, data collection, and tracking to assist Program Analyst with analyses to determine potential problem areas and focus for improvement. Extracts and assembles information from national and local quality databases such as, Strategical Analytics for Learning (SAIL), VA Inpatient Evaluation Center (IPEC), etc. Ensures quality improvement reports/records are maintained in accordance with requirement of Section 3305, USC Title 38 regulations for confidentiality of documents. Work activities typically support multiple projects/programs and contribute to the objectives of one or more QM sections (Systems Redesign, Accreditation, Quality, and High Reliability).
Researches, interprets, and applies regulatory and policy guidelines to answer employees and manager’s questions and/or help them solve administrative problems. Monitoring review/revision dates, notifying stakeholders of due dates, tracking committee approvals, required concurrences, and obtaining the Service Chief or Executive signatures. Assists in coordinating and maintaining all Medical Center memoranda in accordance with policy program guidelines. Incumbent is also the on-site administrator for VA Ann Arbor’s continued survey readiness software program Readiness Rounds.
Works collaboratively with the SR Program Analyst to monitor completion of Lean Yellow Belt performance improvement projects. Typically works under limited instructions that are provided by a QM/SR Program Analyst to:Collect, compile and consolidate data in support of the service. Assists in special projects and studies. Prepares various administrative reports.
Provides assistant level support of management. Uses a wide range of automated processing skills to include computer applications and word processing. Assists management with reviews and analysis. Interprets VA regulations pertaining to the work of the office.
Works closely with hospital staff in other departments in support of facility goals. Assist with coordination of on-site internal and external accreditation activity for VA Ann Arbor. Performs time and attendance duties for a large group of Patient Care Service employees. Receives telephone and personal contacts for the Chief, QM.
